Cases: open, share, assign, close

5 MIN READ·UPDATED NOV 2026·GETTING STARTED

Everything in Evidentor lives inside a case. A case carries its purpose, its team, its evidence and its Bates numbering.

Open a case

  1. Go to Cases and press New case.
  2. Give it a name, a type (criminal, civil, family, SIU, employment, due diligence), the purpose searches will record, and optionally a case number, client, next deadline and lead.
  3. Choose a Bates prefix (two to six capital letters) or let Evidentor make one from the name. It is fixed once numbers are issued.
  4. Press Open case. You are added as the lead with edit access.

Who can see a case

Only people on the case see it. Admins see every case. Someone not on a case gets Not found, not a locked page, so case names never leak.

Add people, or assign them

  1. Open the case and look at the Team card.
  2. Press Add (or Assign as an admin), pick the person and choose Can work on it or View only.
  3. Admins can also assign from the Cases list: each row has an Assign button.

A view-only member can read everything and ask questions, but cannot change records, upload, triage or run analysis.

Leave a case

Any member who is not the lead can press Leave case in the Team card. The lead hands the case to someone else first (Edit, then change the lead).

Close, reopen, delete

Closing stops monitoring and locks the case for edits; it is kept for the firm's retention period (set in Firm settings), then an admin may delete it. The lead or an admin can reopen a closed case. Delete (admins only) destroys the encryption keys of every file so the originals cannot be recovered, and writes a deletion proof to the audit log.
